How to rent from AAA Party Rentals

We know event planning is not for the faint of heart. Thinking of the right number of guests, party rentals, chairs, tables… There’s truly quite a lot to consider. And since we want to make it as easy and enjoyable as possible, we’ve created a guide cheat sheet so you can know what to do and what to expect throughout the rental process with us.

First things first - Our rental process

Planning any party or event is truly exciting, but it can quickly become an overwhelming task. At AAA Party Rentals, we want you to enjoy the planning, so you can take more time making unforgettable memories.

First Step – Guest Count and Party Rental Catalog Browsing

Once you’ve reached a more or less accurate guest list, you can begin requesting a quote from us for available party rental options. It is important to do this in advance, as some seasons are busier than others. – Planning ahead is the way to go!

You can start to do this by assessing the basics. What’s your buget? Is it a themed event, or more of a laid back gathering? What is the food and beverage situation? The answers to these questions will allow you tograsp what event rental items you can’t go without, and which ones you don’t really need. 

For the outdoor events season, these are some of the must-haves you could include in your quote:

  • Folding chair rentals (black or white)
  • Rental tables
  • Rental linens (tablecloths, napkins)
  • Rental tents (small ones for food and beverage stations, or for smaller groups)

Additionally, we offer certain add-ons that might come in handy depending on the event tyoe and weather conditions.

Temperature Control Rentals:

  • Tent heater
  • Mushroom heater
  • Tent fan
  • Evaporative misting fan
Second Step – Submitting a Quote Request

Once you’ve determined which event rental items you will be renting for your event, you can proceed with the quote request. In order to submit it, you can follow these steps:

  1. Add to your cart the number of each item you’d like to get for your event, and proceed to checkout as you would with an online purchase.
  2. Fill out the form and include as much information about your event as possible, including event address. Remember we offer party rentals in MD, DC, and VA. This will helps us create a comprehensive quote that suits your event’s needs.
  3. You will get a confirmation via email. This means we’ve received your quote request, and will process it shortly. Please give allow 24 – 48 to receive your full quote, although with smaller orders it could take us only a couple hours. Important: Check your spam folder too, as sometimes our emails could redirected.
  4. Once you get your full quote, please review it to make sure the rentals and billing information is correct. If everything looks correct, you can go ahead and confirm your order.
  5. To confirm your order, you can give us a call during our business hours and we’ll process your payment over the phone. Alternatively, you can request a credit card autorization form, which you can fill out and send back to us so we can process it.

IMPORTANT: Please note that making your refundable deposit is the only way to reserve the items in your quote, and the full payment must be made by the time they’re delivered or picked up from our warehouse.

Third Step – Receiving your party rentals

On the days coming up to your party rental order you will get a broad time frame for your delivery. The exact time will be provided on the day scheduled for the delivery of your rental order.

Important information about refundable deposits

The amount of the refundable deposit for your rental order will be released back into your account 3 to 5 business days once the items are returned or picked up by our delivery team.
